We are seeking a highly organized and proactive Executive Assistant to support our executive team and streamline daily operations. Overview

This position provides high-level administrative support, manages internal workflows, and coordinates client relations and marketing efforts. The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to manage multiple priorities with professionalism and discretion.


Key Responsibilities

  • Provide direct executive support and manage daily administrative tasks.
  • Coordinate calendars, meetings, travel arrangements, and event logistics.
  • Transcribe meeting minutes and track action items to ensure follow-through.
  • Maintain organized physical and digital filing systems.
  • Perform data entry, document preparation, and basic financial tasks.
  • Run occasional errands (e.g., deliver gifts, signage, flyers, lockboxes).
  • Support internal operations by organizing team events and tracking deadlines.
  • Handle client inquiries, schedule showings, and ensure clear communication with clients, agents, and vendors.
  • Make periodic client calls to maintain relationships and support long-term engagement.
  • Ensure a positive client experience throughout the transaction process.
  • Assist with marketing initiatives, including branding, social media scheduling, and the creation/distribution of promotional materials.
  • Coordinate pre-listing activities and property preparation (e.g., photography, signage, lockboxes, MLS input).
  • Assist in scheduling and coordinating buyer home showings.
  • Manage and track Agent-to-Agent referrals, ensuring proper documentation and follow-up.

Required Skills & Experience
  • Excellent organizational skills and keen attention to detail
  • Strong written and verbal communication skills
  • Ability to handle confidential information with professionalism and discretion
  • Proficiency in Google Workspace and/or Microsoft Office; willingness to learn additional tools
  • 1+ year experience in administrative support, executive assistance, or a similar role ( real estate experience is a plus )
  • Background in customer service and event/schedule coordination
  • Comfortable managing multiple priorities in a fast-paced environment and taking initiative when needed
  • Valid driver’s license and reliable transportation for occasional local errands
Preferred Qualifications
  • Familiarity with CRM platforms (KW Command, Realty Juggler, or similar)
  • Experience creating basic marketing materials (e.g., Canva, social media scheduling tools)
